What happens when you contact the contact point?
Your report will be received by the contact centre
You can use the contact portal, email or telephone (anonymously if you wish).
You can report an observation or request a consultation directly.
We will invite you to a counselling session
To ease your mind, gain a better understanding of your situation and clarify your options, you can take advantage of a counselling session. This can take place (and can remain anonymous if you wish) at the contact centre’s premises, online via chat or video, by telephone, or at a safe location on campus that suits you.
Your options:
Should you decide to proceed with a case, it will be necessary to waive your anonymity with regard to the staff at the Contact Point. Whether your anonymity can be maintained vis-à-vis other parties involved in the proceedings will be assessed on a case-by-case basis.
Please note that, due to its duty of care, the University is obliged to take action if, during the consultation, you name the person against whom an allegation has been made.
Case handling procedure:

Following an initial consultation, the full-time member of staff will discuss your case confidentially and in accordance with the dual-control principle with a designated contact person.

Together, they will assess who needs to be involved in handling the case in accordance with the duty of care.

The relevant line manager, together with the contact point – and involving other suitable parties where necessary – forms an intervention team. The team is kept as small as possible and only expanded to include those whose involvement is necessary for the further handling of the case.

Where possible, the line manager takes charge of the intervention team and thus assumes responsibility for handling the case in accordance with the duty of care. In doing so, the line manager adheres to the applicable guidelines and associated procedures.

All persons involved are bound to confidentiality.

The intervention team compiles the available information, consulting the person concerned and other university departments where necessary, derives appropriate measures from this and forwards them to the President in the form of a recommendation.

Assessment of the case by the President

The decision on which measures are to be implemented rests with the Executive Board.
