Fee Refunds

The University of Würzburg collects semester fees (Studierendenwerk fees and the fee for students’ public transport passes) from all students when they first enrol in a programme at the University of Würzburg and each time they re-enrol to continue their studies in the upcoming semester. The University collects those fees for the Studierendenwerk Würzburg and the Verkehrsunternehmens-Verbund Mainfranken GmbH (VVM) and then forwards the fee payments to the Studierendenwerk Würzburg. The legal basis for charging semester fees is Article 121 Bayerisches Hochschulinnovationsgesetz (Bavarian Higher Education Innovation Act, BayHIG) in conjunction with the bylaws on Studierendenwerk fees (Grundbeitragssatzung, available in German only) and the bylaws of the Studierendenwerk Würzburg governing the student public transport pass (Semesterticketsatzung, available in German only).

Please be aware that the University of Würzburg is bound by the refunds rules of the Studierendenwerk Würzburg.

Deadlines and other important information:

The bylaws mentioned above stipulate that you can only be provided with a fee refund in the following circumstances:

In accordance with the bylaws mentioned above, it will only be possible for the University to refund fees that have already been paid for the semester in question if your disenrolment is effective before the end of the previous semester (31 March/30 September) and you return your student ID card (chip card) by the last day of the previous semester (31 March/30 September) at the latest.

Both your application for disenrolment and your application for a refund of semester fees (with your student ID card attached to it) must have been received by Student Affairs by the last day of the previous semester (31 March/30 September) at the latest. The date your application for disenrolment and your refund application were stamped ‘received’ will be deemed the date of receipt!

Example 1:

You have re-enrolled to continue your studies in the upcoming summer semester but disenrol from your programme at the University of Würzburg before 31 March (= last day of the winter semester) to transfer to another university.

In such cases, it will only be possible for us to refund the fees you have paid for the summer semester if your application for disenrolment and your application for a refund of semester fees are received by us on or before 31 March and your student ID card (chip card) is attached to the refund application.

Example 2:

You were planning to take up studies at the University of Würzburg in the upcoming winter semester and have submitted your application for enrolment to the University before 1 October. Prior to the last day of the summer semester (30 September), you receive an offer of admission from another university, which you want to accept.

In such cases, it will only be possible for us to refund the fees you have paid for the winter semester if your application for disenrolment and your application for a refund of semester fees are received by us on or before 30 September and your student ID card (chip card) is attached to the refund application.

The bylaws mentioned above stipulate that after the semester in question has commenced (semester start date: 1 April or 1 October), fees that have already been paid for that semester can only be refunded, upon your request, if the following conditions are met: You request disenrolment pursuant to Article 94 (2) BayHIG on the first day of the lecture period of the semester in question at the latest or disenrolment pursuant to Article 94 (2) BayHIG becomes effective on the first day of the lecture period of the semester in question at the latest and you return your student ID card (chip card) before the deadline mentioned above has passed and you have not renewed (validated) your public transport pass.

Your application for disenrolment, your application for a refund of semester fees and your unrenewed student ID card must have been received by Student Affairs before the deadline mentioned above has passed! The date your application for disenrolment and your refund application (with your student ID card attached to it) were stamped ‘received’ will be deemed the date of receipt!

Example 1:

You have re-enrolled to continue your studies in the upcoming summer semester. On a date between 1 April and the first day of the lecture period of the summer semester, you are issued with your graduation documents.

In such cases, it will only be possible for us to refund the fees you have paid for the summer semester if your application for disenrolment and your application for a refund of semester fees are received by us by the first day (*)  of the lecture period of the summer semester and your student ID card (chip card) is attached to the refund application. Be aware that once you have renewed (validated) your student ID card for the summer semester, you are no longer eligible for a fee refund!

Example 2:

You were planning to take up studies at the University of Würzburg in the upcoming winter semester and have enrolled already. On a date between 1 October and the first day of the lecture period of the winter semester, you receive an offer of admission from another university, which you want to accept.

In such cases, it will only be possible for us to refund the fees you have paid for the winter semester if your application for disenrolment and your application for a refund of semester fees are received by us by the first day (**) of the lecture period of the winter semester and your student ID card (chip card) is attached to the refund application. Be aware that once you have activated (validated) your student ID card for the winter semester, you are no longer eligible for a fee refund!


(*) Question on security: Does "by the start of lectures" mean by the first day of the lecture period at the latest (this is how I understood and translated it spontaneously) or by the day before the first day of the lecture period at the latest? If the latter should be the case, the marked position would have to be changed to: "before the first day".

Important information for students who are enrolled at two different higher education institutions in Bavaria:

To be eligible for a fee refund, you must meet the following conditions and deadlines:

 

If you are enrolled at two different higher education institutions in Bavaria, you can get a refund of the Studierendenwerk fees if you submit to the University of Würzburg, by the first day (*)  of the lecture period of the semester in question, an enrolment certificate for that semester that was issued by your other university as proof of your having paid the fees there.

Both your refund application and the enrolment certificate from your other university must have been received by Student Affairs by the first day (**)  of the lecture period of the semester in question! The date your refund application and your enrolment certificate were stamped ‘received’ will be deemed the date of receipt!

If you still have money on your student ID card (chip card), do not forget to go to the checkout counter of any canteen to have the money paid out to you before you return your card.

We cannot give you a refund if you have lost your student ID card (chip card)!

We cannot give you a refund after the deadlines stated above have passed!
