Initiating Partnerships and Negotiating Agreements

Are you interested in establishing an international partnership agreement or renewing an existing cooperation?

Steps to establish an International Partnership Agreement (non-Erasmus)

  1. Please review and clarify the points listed on the Handout  beforehand.
  2. Please fill in the Form Request for International Cooperation and send the completed form to international-networking@uni-wuerzburg.de
  3. Referat 1.1 InterNational Networking will reach out to you.
  4. Communication and contract negotiations with the potential partner university are conducted in consultation with the Referat 1.1 InterNational Networking.
  5. The final draft of the agreement will be reviewed by Referat 1.1. Please note that any deviations from our template require a separate review.
  6. Referat 1.1 will obtain the signature of the President or the Vice President for Internationalisation and Alumni.

Conclusion of an Erasmus-Agreement (Inter-Institutional Agreement)

Erasmus-Agreement KA 131 - Learning Mobility of Individuals within ERASMUS+ programme countries

Conclusion of a paperless Erasmus-Agreement (Inter-Institutional Agreement = IIA) within the framework of Erasmus Without Paper (EWP). Process steps:

  • Identifying demand for student and staff mobility
  • Consultation on study programs/course offerings: Are the programs compatible, and can added value be expected for incoming and outgoing students?
  • Determination of mobility numbers for SMS (Student Mobility for Studies) and STA (Staff Mobility):  
    - How many students/staff should participate in the mobility?
    - What is the intended duration of the stay?
    - What level of language proficiency is required?
  • Horizontal and vertical review and, if needed, adjustments of the agreed numbers and conditions within the faculties/institutes. Clarification of whether the mobility numbers can be supported both organizationally and academically.
  • After the review and agreement on the final conditions, both parties inform their respective International Offices about the intention to conclude an IIA.

  • Does the partner university meet the accreditation requirements?
  • Strategic fit: Does the cooperation align with the internationalization strategy? 

  • EU-Regulations: Are all specifications being met?
  • Are the numbers from the experience of the International Office realistic and plausible?

  • Initial contact with the International Office of the partner university to verify initial data, process optimization, and the initiation of the IIA
  • Preparation of the IIA-draft in the EWP-System 
  • Exchange with the International Office of the partner university for mutual verification of the data in the IIA
  • If the data are consistent, both sides approve the synchronized IIA-draft
  • Valid upon mutual approval

Note: All steps are performed paperless and digitally via the EWP-System. Close coordination between the faculties and the International Office is essential for a smooth process. Once the International Office takes over, the faculties will be regularly updated on key milestones.

Erasmus-Agreements KA 171 (Erasmus Mobility with Partner Countries outside of ERASMUS+ programme countries)

  1. The initiation of ERASMUS partnerships with universities in partner countries is initiated by the faculties of the University of Würzburg. If you would like to initiate a partnership, please contact your colleagues in the faculties of the Julius-Maximilians-Universität Würzburg. Please check with them to see if they have a common focus in research and teaching.
  2. If you receive support from colleagues from the faculties, please contact the Erasmus KA171 team via the following e-mail address: erasmus171@uni-wuerzburg.de.
  3. Contact must be made by 15 September.

  1. In the further process, the subjects must submit an application to the German Academic Exchange Service together with the ERASMUS 171 Coordinator. For this purpose, a completed partner questionnaire must be submitted to the ERASMUS 171 Coordination Office by the end of October.
  2. This must include questions on the strategic relevance, impact and dissemination of the partnership as well as the specific implementation (including the number and type of mobilities)
  3. The ERASMUS 171 Coordination verifies the accreditation of the partner university according to the Anabin database of the German Standing Conference of the Ministers of Education and Cultural Affairs.
  4. The ERASMUS 171 application for the University of Würzburg is submitted in January of each year.
  5. We usually receive feedback on approval in July/August of each year.

  1. Once the application has been approved and the funds have been budgeted, an inter-institutional agreement is drawn up together with the subject coordinators, which covers the scope and type of mobilities.
  2. Once the document has been signed by both parties, the student and staff mobilities can begin.
